Your club leaders are graduating – how do you ensure a smooth transition?

As regular sponsors of student clubs, we consistently see clubs struggle to transfer general knowledge as well as sponsorship details from the outgoing leaders to the incoming leaders. The outgoing leaders are likely graduating, completing internships, packing — and passing down their club knowledge is pretty low on the list. Here’s some tips & tricks to help your club have a smooth transition year to year, and stay on top of regular club procedures.

 

Create a Club Knowledge Transfer Website

This great idea is in thanks to Ambassador Ramaditya Kotha from UCLA. He created an amazing Maker.io Blog that walks you through the steps to create a Knowledge Transfer Website, or a site to store your club contacts, deals, procedures, and more. Important information to include:

    • Sponsorships
    • Contact Sheets
    • General Procedures
    • Software Usage
    • BOMs and Planning Sheets
    • Year-to-Year Design Revisions

Start Pass-Off Email Threads

For any important contacts or deals that will be continuing into the next school year, the outgoing internal contact should start a new email thread introducing the incoming leaders as the new primary contact. This ensures everyone has updated contact information before leaving for the summer.

 

Create a “Role Transition” Document for Every Position

This document would be great to include on the Club Knowledge Transfer Site, and would detail out:

  • weekly/monthly responsibilities
  • timelines for recurring tasks
  • login/access information
  • lessons learned
  • common mistakes to avoid
  • templates they regularly used

This could also be a living document of tips & tricks the previous position holder would like to pass on.

 

Store & Share Passwords

Don’t forget to transfer logins or share the passwords for common club accounts like:

  • social media accounts
  • Canva
  • Google Drive
  • banking/payment platforms
  • university portals

If you have a secure Club Knowledge Transfer Site, you could store this information there. If not, there are many Password Manager programs you could utilize.

 

Document the Club Calendar

Many clubs lose momentum simply because important dates aren’t written down.

Recommend maintaining:

  • annual event timelines
  • sponsorship renewal periods
  • recruiting windows
  • university funding deadlines
  • conference dates
  • social media campaigns

 

Other Items to Consider

  • Include an End-of-Year Transition Checklist
  • Build a Leadership Overlap Period
  • Create a “What We Wish We Knew” Section
  • Clean up previous year’s documents
